5 Things to Ask Your Wedding Venue Before Booking
Choosing your wedding venue is one of the biggest decisions you’ll make during the planning process. Your venue affects your guest experience, your timeline, your vendors, your photos, and even how smoothly your wedding day flows.
A venue can look absolutely perfect online and still come with rules, restrictions, or extra costs you didn’t realize were there.
Before you sign a contract, make sure you ask these five questions.
1. What is included in the venue rental?
Don’t assume the rental price includes everything you see in the venue photos.
Ask exactly what comes with your rental, including:
Tables and chairs
Ceremony chairs
Linens
Getting-ready suites
Tables for cocktail hour or reception
Set-up and clean-up
Parking
Sound equipment
Lighting
Décor or furniture
Rehearsal time
Access to outdoor spaces
Also ask whether there are additional fees for things like setup, cleanup, security, overtime, or using certain areas of the property.
Pro tip: Ask for a complete fee sheet before booking. A venue that costs a little more upfront can sometimes be less expensive overall once you compare what is actually included.
2. What happens if it rains?
This is one of the most important questions to ask, especially if you’re planning an outdoor ceremony or reception.
Don’t just ask, “Do you have a rain plan?”
Ask what the actual rain plan looks like.
Where will the ceremony move? Is there enough space for all of your guests? When does the decision need to be made? Can you still have your cocktail hour outside if the ceremony moves indoors?
And most importantly, ask whether the backup space is reserved for your wedding or could be used for something else.
A good venue should have a plan for rain, extreme heat, wind, and other weather surprises not just a vague “we’ll figure it out.”
3. How much time will we actually have at the venue?
Your rental hours can have a huge impact on your wedding timeline.
Ask:
When can vendors arrive?
When can you begin getting ready?
When can your photographer and videographer begin shooting?
What time does the ceremony have to end?
What time does the reception have to end?
How much time is available for cleanup?
A venue might advertise an eight-hour rental, but if your eight hours begin at 2 p.m. and your ceremony is at 4 p.m., that doesn’t necessarily give you much time for getting ready, portraits, or detail photos.
Your wedding day needs breathing room.
If you want beautiful getting-ready photos, a relaxed first look, family portraits, cocktail hour, sunset portraits, and plenty of time to actually enjoy your reception, make sure the venue’s access hours work with the timeline you envision.
4. Are there any photography or vendor restrictions?
This is a big one that couples sometimes don’t think to ask.
Before booking, find out whether the venue has restrictions on:
Where photographers can take photos
Where ceremonies can be held
Drone photography
Flash photography
Candles
Sparklers or other exits
Confetti or flower petals
Outside catering
Alcohol
DJs or live bands
Specific vendors
Delivery and pickup times
If there is a beautiful part of the property that you fell in love with in the venue’s photos, make sure your wedding party will actually be allowed to use it.
And if photography is important to you, ask your photographer about the venue before booking whenever possible.
A photographer who has worked at the venue may know things you can’t see during a tour where the best light falls, which rooms photograph beautifully, where family portraits can happen efficiently, and whether the venue’s layout makes your desired timeline realistic.
5. What happens if we need more time?
Wedding days rarely go exactly according to plan.
Maybe hair and makeup runs late. Maybe your ceremony starts 15 minutes behind schedule. Maybe your reception is having too much fun and you don’t want the night to end.
Ask what happens if you go over your contracted time.
Find out:
What is the overtime rate?
Is overtime even available?
Who has to approve it?
How much notice is required?
What happens if a vendor needs additional time?
What time must everyone completely leave the property?
Knowing this ahead of time can save you from a very expensive surprise at the end of the night.
Bonus:
If the venue is willing, ask if they have reviews or testimonials from couples who have actually hosted their wedding there.
Look beyond the pretty photos.
Pay attention to comments about communication, staff, setup, cleanup, responsiveness, flexibility, and how the venue handled unexpected problems.
Because ultimately, you’re not just booking a beautiful building.
You’re booking the host who will be part of one of the biggest days of your life.
